CostAllocation Pro is about to get even smarter.

We’re introducing two new tools designed to save you time, reduce errors, and give you greater control over your QuickBooks Online data: Batch Edit and Expense Allocations.

These features are built to make your accounting workflows faster, cleaner, and more accurate — so you can spend less time on manual bookkeeping and more time focusing on your mission.

  1. Batch Edit — Reclassify Transactions in Bulk

If you’ve ever needed to fix or update multiple transactions in QuickBooks Online, you know how tedious it can be to edit them one by one.

Batch Edit changes that.

With this new feature, you’ll be able to modify the Customer, Class, and Location fields for multiple transactions at once — all within CostAllocation Pro. When you hit save, the updates sync directly back to QuickBooks Online, automatically updating the original transactions.

Here’s what that means in practice:

Assign missing classes in seconds. Filter for transactions with blank classes, select them all, and apply the correct class in one step.

Reassign grants or customers in bulk. Quickly link expenses to the right grant or funding source without touching each transaction individually.

Batch update locations. Keep your data clean and consistent by assigning the correct location across multiple records at once.

Export all attachments by grant. Need backup for a reimbursement request? One click creates a zipped folder of attachments, neatly organized by vendor.

No more manual rework. No more tracking errors. Just clean, accurate data — synced in real time with QuickBooks.

  1. Expense Allocations — Automate Allocation Journal Entries

The second new tool, Expense Allocations, takes your cost allocation process to the next level.

Instead of preparing manual journal entries, you’ll be able to create automated allocation journals directly from your filtered transactions in CostAllocation Pro.

Here’s how it works:

Filter transactions by account, expense group, or cost pool.

Review your predefined allocation percentages across Customers, Classes, and Locations.

Click Preview Allocation to see the exact journal entry that will post to QuickBooks.

When you’re ready, select Save & Publish — and CostAllocation Pro automatically creates and syncs the journal entry.

The result: a faster, more reliable way to allocate expenses — without spreadsheets or manual entry.
